SubFinder Information

SubFinder

You use SubFinder to call in your absences at least one (1) hour prior to the start of your scheduled work day. SubFinder is an Interactive Voice Response (IVR) system. It is similar to the IVRs used by banks, airlines and the Michigan First Credit Union. This system may be accessed through your touch-tone telephone at 313.556.0800. To use SubFinder, you need:

  1. [A.] Employee Number (i.e., your file number) and [B.]  Personal Identification Number (PIN).  You may contact the Help Desk at 313.873.0123 to obtain your Pin if you have either misplaced or forgotten it.
  2. To report an absence with SubFinder dial 313.556.0800, and then enter your assigned employee ID and PIN when asked. Select the day and reason for the absence. Don’t forget to press the pound (#) key to register each entry.
  3. Listen for the absence confirmation number BEFORE you end your call.  That's it! Simple and convenient.

Since the SubFinder system is available 23 hours a day, 7 days a week, 365 days a year, you can call in an absence before your workday begins, or your supervisor arrives.  You must call in your absence at least one hour before your worksite location start time deadline; else you will need to contact your site administrator directly.

Benefits realized as a result of the implementation of the SubFinder system are the:

  • Site Administrators receive daily SubCast Absence Reports
  • Site Administrators have access to WebConnect to report and track employee absences
  • PeopleSoft system sends automatic updates to SubFinder via a nightly interface; and
  • Available Tools for Absence Reporting and Management.

The daily SubFinder SubCast reports, sent via email to identified site administrators, are utilized as a resource for day-to-day operations at your worksite location. In the future, all absences and substitute teacher time may be sent from the SubFinder system directly to the PeopleSoft system for payroll processing purposes. Therefore, it is required that your location time roster match your SubFinder reported data.

Since the implementation of the SubFinder system, there have been tighter controls on the use of Substitute Teacher service and the budget for this service. Trend data are available for reported employee absences.

In an effort to maximize the investment made in SubFinder to date, hardware and system upgrades have been approved. Newly purchased servers and system software upgrades are expected to stabilize system operation and performance.

In an effort to provide additional background information on demand, presentations for the End-User (Phase I) and the Employees (Phase II) are accessible in the indicated links below. The Phase II employee link is provided to support the individuals who may have missed the original training sessions. Please be advised that employees may complete the Quiz as a resource or practice tool.

If you are an authorized SubFinder administrator, and have not received training for WebConnect, please contact the Office of Temporary Services for assistance at 313.873.3291.

Thank you for your continued interest and support of the SubFinder system.
