Associate’s degree in business administration or related field preferred or a minimum of two (2) years experience employed in a school system in an administrative office may be substituted for the educational requirement.
Must be currently classified as a Clerical Series Level III or Level IV with the Detroit Public Schools. Experience in a fast-paced, high-volume, customer focused work environment is highly preferred. Proficiency at an advance level of word processing, spreadsheet application, as well as other business related applications and software to include Microsoft Word, Excel, PowerPoint, PeopleSoft Financial, Access, Publisher, Visio and web-based navigation required. Candidates may be required to demonstrate skill levels.
Regular Attendance is critical; must have an exemplary attendance record.
Must be able to verify whether U.S. citizen, resident alien, or otherwise authorized to accept employment in the U.S.
Must be physically able to perform the duties and responsibilities outlined with or without accommodations.
A computerized assessment will be conducted to gage the level of computerized skill set using programs in the Microsoft Office Suite.
Applicant must have excellent written, oral, and interpersonal communication skills and must be detailed oriented and have the ability to work under tight deadlines.
Possess solid analytical skills, strong organizational skills. Ability to maintain confidentiality.
Possess the ability to work well with people of all job classifications with a positive, enthusiastic attitude.
Demonstrated ability to structure, implement and manage completion of complex projects.
Under the direction of the Secretary of the Board/Designee, the Board Services Technician will have the following duties and responsibilities:
1. Provide technical assistant in the development, implementation and maintenance of new and existing technology related to the Office of the Secretary of Board’s operations.
2. Interact with Information Technology personnel and school technicians when there are reported technical issues concerning Board Members that require assistance with resolving issues with computers, blackberries, etc.
3. Manage and maintain the Board Office Web Page, i.e. posting meeting notices, public hearings, Board related workshops, etc… required for public notifications.
4. Assist with the preparation of a variety of database directories for Board Members servicing various districts.
5. Monitor data, prepare reports, merge, store and retrieve a variety of computerized records.
6. Provide technical support in the design and implementation of automated office programs and equipment; analyze office procedures and technical problems to help implement efficient office operations.
7. Communicate with Cabinet Members, departments, administrators and outside agencies in assisting with maintaining and updating Freedom of Information Act requests as outlined by law.
8. Respond and coordinate request from cabinet level administrators, staff and public regarding inquiries submitted to the Board concerning district and school related issues.
9. Communicate effectively with community stakeholders relative to Board and District adopted policies and procedures including responding to citizen complaints and concerns at the request of Board Members.
10. Coordinate activities with other department staff related to Board Office activities and related events.
11. Prepare technical documents and reports with or without written drafts; develop and write technical reports as related to Board related meetings/events.
12. Assist in handling the logistics concerning Board related meetings, i.e. contacting building administrators, facility service department, transportation services, printing department, etc.
13. Transcribe Board related minutes in final form from notes, tapes, PowerPoint reports or other available documentation with complete grammar and spelling accuracy.
14. Research and prepare reports for contracts and bid reading documents.
15. Assist with the implementation, compilation, and maintaining of office master calendar.
16. Prepare detailed reports to include financial, travel, stipend, and related reports; compile related materials, reports, agendas and distribute materials as directed.
17. May assist with training of staff and coordinating related office assignments.
18. Attend a variety of day and evening meetings.
19. Perform other duties as assigned by the Secretary of the Board/ designee.
